Manage members: groups, suspension, anonymisation

Administration → Members: give or remove a group, resync Discord roles, suspend, sign out everywhere, anonymise an account.

In short. Administration → Members (administrators only) lists every account. A member's page gathers their groups, Discord roles, suspension and anonymisation.

Find a member #

  • Search by username, name or Discord ID.
  • Filter by group, 25 members per page.
  • A suspended account stays in the list, marked Suspended.

Give or remove a group #

  1. Open the member's page.
  2. Give a group they do not have, or Remove on a group they have.

If the Discord bot is set up and the group is linked to a role, the role follows. The page shows the latest Discord calls for this member: this is where you see whether the role really arrived.

  • Resync their Discord roles puts back the role of each of their groups, without removing anything.
  • Resync every member (bottom of the list), then Start the resync, does it for everyone, in batches of 20, respecting Discord's limits. Keep the page open until it finishes.

Safeguard: the last administrator who is not suspended cannot lose the admin group. Appoint another administrator first.

The installation owner #

In the list and on the member page, an Owner badge marks the person who took control when Agora was installed.

  • No other administrator can suspend, disable or anonymize them, or remove their admin group.
  • Some actions are reserved to them (they change who the installation belongs to, or rewrite the whole database):
    • restoring or importing a backup (Backups and restore);
    • changing the Discord application used for sign-in (ID and secret, in Administration → Configuration → Discord connection);
    • attaching another license key or taking over a seat.
  • The Discord bot, pasting a license token and Check now stay open to any administrator: they are repair actions.
  • For an administrator who is not the owner, these forms (Discord application, license key, seat takeover) are greyed out, with a "?" explaining "reserved to the owner", instead of only refusing on submit.
  • Only an owner can give the flag to another active administrator. You can only hand back your own flag, or delete your account, if another owner remains.
  • On an installation already running at update time, the flag goes to the account that took control (if still an active administrator), otherwise to the oldest active administrator.

Suspend a member #

  1. On the page, pick a duration: 1 day, 7 days, 30 days or permanent.
  2. Write the reason: it is shown to the member.
  3. Click Suspend.

The member is signed out everywhere (site and tablet). If they come back, a banner says "Account suspended until … — reason". They can read the forum, but cannot post, nor open the MDT, dealership, portal or tablet.

  • As long as the suspension lasts, their session carries no team group or right at all (admin, moderateur, groups with rights); their ordinary groups stay.
  • When it expires, the suspension lifts on its own.
  • Lift the suspension removes it by hand (reason required).
  • Their groups do not change. Their Discord roles follow the Suspended member setting: see Discord roles and suspended members.
  • You cannot suspend yourself, and the last administrator cannot be suspended.

A suspended member has only the player view left: the "Administrator view" banner and the view switch are no longer offered, since they have no power left.

Sign out everywhere closes all their sessions without suspending them. The number of sessions announced ("Open sessions", "n sessions closed") only counts sessions that are still valid, not those that expired without having been purged yet.

Change their email address #

The email address follows Discord at every sign-in. Only an administrator can change it, on the member page. Once set that way, Discord no longer overwrites it; clearing it makes it follow Discord again.

Disable an account (reversible) #

For the ordinary case, open the Advanced section of the member page: Disable the account, with a reason. Sign-in is blocked, and in public their threads and posts are signed "Deleted user" (no username, avatar or link); you still see their real profile. Reactivate gives back their public identity. A disabled, banned or anonymized account no longer appears on the Team page or in the home page Team block.

If a former member who had deleted their account signs in again, the page shows A former member is asking to return: Approve the return or Refuse (the new account can do nothing in the meantime). Refusing a return that was already handled (for example from a tab left open) touches nothing: the reason of an ordinary suspension is never overwritten.

A member's username #

At each sign-in, Agora takes the member's Discord name again as their username. If that name is already held by another account, the member gets a variant like Bob_1234, which stays the same from one sign-in to the next as long as the name stays taken: their /membre/<username> address does not move. If the name becomes free, they take it back.

2FA on the member's page #

The page shows the Discord 2FA of all accounts that staff 2FA blocks: admin and moderateur, groups with rights, designated reviewers and recruitment ranks. If a "Customs officer" does not get through, look at their page: see Require staff two-factor authentication.

Anonymize an account (Quebec Law 25 / GDPR) #

For a real erasure request, in the Advanced section of the member page: Anonymize the account. It is irreversible.

  1. Tick "I understand this is irreversible".
  2. Click Anonymize permanently.

Not touched: roles already set on Discord, their classifieds and MDT data in the game database. You cannot anonymize yourself, the last administrator cannot be anonymized, and neither can the owner (see above) by another administrator. An application from an anonymized account can never be accepted.

Everything is logged #

Additions, removals, resyncs, suspensions, lifts, sign-outs and anonymisations go to the administration log.
